Summary:

The Executive Office Administrator provides high-level administrative, event, and operational support to vRad executives and leadership. This role ensures seamless coordination of daily office operations, executive scheduling, internal events, travel logistics, and administrative Continuing Medical Education (CME) program activities.

This position serves as a central hub for communication, planning, and execution across multiple functional areas and is essential to supporting the effectiveness of organizational leadership and internal stakeholder groups.

Essential Duties and Responsibilities:

Executive/Leadership Support

  • Provide administrative support to the executive team, including but not limited to:
    • Calendar management
    • Scheduling meetings with internal and external stakeholders
    • Managing travel logistics (flights, lodging, transportation, itineraries)
    • Coordinating meeting logistics, materials, and catering services
  • Provide back-up coverage for mailroom operations and phones as needed
  • Manage IT on-call list and submit payments
  • Assist with special projects and cross-department initiatives
  • Provide back-up support to other executives as needed

Internal Event Coordination

Serve as a primary coordinator for internal and external events, meetings, and gatherings across the organization. Responsibilities include:

  • Support, coordinate, and execute internal event logistics including:
    • Leadership offsites
    • Departmental meetings
    • All-practice meetings
    • Onsite training events
    • Special programs and recognition events
    • Trade-show events
  • Secure event locations (hotels or office conference rooms), including contract coordination
  • Coordinate room blocks and attendee travel logistics
  • Arrange meals, including setup and cleanup as needed
  • Support event communications including agendas, attendee lists, reminders, and follow-up

Continuing Medical Education (CME) Support

Play a key operational role in supporting CME activity and accreditation compliance.

  • Manage event surveys, credit processing, and distribution of CME certificates
  • Support development of educational plans and accreditation documentation
  • Assist with accreditor communications, disclosure management, mitigation tracking, compliance reporting, and invoice/payment processing
  • Coordinate CME speakers, including outreach and onboarding of speaker agreements

Qualifications/Education:

Required Qualifications

  • High school diploma required; associate or bachelor’s degree preferred
  • 8+ years of administrative experience
  • 6+ years supporting C-level executives
  • Active Notary Commission
  • Experience with event coordination and travel logistics
  • Demonstrated ability to handle proprietary and confidential information with discretion
  • Ability to work in a fast-paced, rapidly changing environment
  • Strong multitasking and organizational skills
  • Ability to work independently with general direction
  • Advanced proficiency in Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Strong problem-solving skills and ability to anticipate needs

Job Classification:

Physical Demands & Work Environment

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or negligible force frequently. The position primarily involves sitting, with occasional walking and standing.
